By completing a booking through our website, you confirm that you have read and agree to these Terms & Conditions on behalf of yourself and all participants included in the booking.
About Beyond the Pitch
Beyond the Pitch organises curated cultural sports experiences delivered together with trusted local partners around the world.
Beyond the Pitch is registered in the Netherlands. These Terms & Conditions are governed by Dutch law.
Nature of services
Beyond the Pitch organises curated cultural sports experiences delivered together with local partners. Our experiences do not constitute travel packages or linked travel arrangements within the meaning of EU Directive 2015/2302.
Unless explicitly stated otherwise on the relevant experience page, Beyond the Pitch does not provide:
- flights or air travel
- accommodation
- transportation to or from the experience location
- travel insurance
Participants are solely responsible for arranging and funding their own travel to and from the experience location.
Scope of experiences
Beyond the Pitch experiences focus on cultural sporting traditions and may include activities such as:
- learning or participating in traditional sports
- meeting local experts, guides or athletes
- cultural storytelling or demonstrations
- attendance at local sporting events
The full details of each experience are described on the relevant experience page on the website. In case of any discrepancy, the experience page description prevails.
Booking process
Bookings are made through the Beyond the Pitch website at travelbeyondthepitch.com. A booking is confirmed once:
- payment has been received in full, and
- a booking confirmation email has been sent to the email address provided.
If you do not receive a confirmation email within 24 hours of payment, please contact us at thebeyondthepitch@gmail.com before assuming your booking is confirmed. Beyond the Pitch is not responsible for confirmation emails lost due to incorrect email addresses or spam filters.
The person completing the booking confirms they are authorised to accept these Terms & Conditions on behalf of all participants included in the booking.
Prices & payment
All prices are listed in EUR unless stated otherwise on the experience page. Where a "from" price is displayed, the final price applicable to your booking will be confirmed before payment is completed.
Prices shown cover the hosted experience only. Flights, accommodation and travel costs are not included.
Payment is processed securely through third-party payment providers. Beyond the Pitch does not store full payment card details. Any payment processing fees charged by the payment provider are non-refundable.
Event attendance
Some experiences include attendance at a live sporting event. Event attendance is subject to:
- ticket or access availability at the time of the experience
- the policies and regulations of the independent event organiser
- scheduling changes outside the control of Beyond the Pitch
Beyond the Pitch cannot guarantee ticket availability at the time of booking. Where event attendance cannot be confirmed or is no longer possible, Beyond the Pitch will, within 14 days, either:
- offer a comparable alternative event or experience, or
- refund the event attendance component of the price paid.
Event changes
Sporting events are organised by independent third-party organisers and may be subject to schedule changes, postponement, or cancellation beyond the control of Beyond the Pitch.
Where an event that forms part of the experience is cancelled, postponed, or materially altered, Beyond the Pitch will make reasonable efforts to notify participants promptly and will, within 14 days, either:
- offer a comparable alternative event or experience, or
- refund the event attendance component of the price paid.
Beyond the Pitch is not responsible for any additional costs incurred by participants as a result of event changes, including but not limited to flights, accommodation or transportation costs.
Experience delivery
Experiences are organised by Beyond the Pitch and delivered together with trusted local partners. Local partners may assist with guiding participants, hosting activities, and facilitating local aspects of the experience.
The full details of what is included in each experience are described on the relevant experience page. Nothing in the experience delivery creates a travel package as defined under EU Directive 2015/2302.
Independent partners
Some aspects of the experience may be delivered by independent local partners. These partners are not employees or agents of Beyond the Pitch and operate independently.
Beyond the Pitch selects partners with care but does not accept liability for the acts, omissions, or negligence of independent local partners, except where such liability cannot be excluded under applicable Dutch law.
Participants dealing directly with local partners do so at their own discretion.
Participant responsibilities
All participants agree to:
- follow reasonable instructions from guides and hosts throughout the experience
- respect local communities, cultural practices, and traditions
- comply with venue rules and the policies of event organisers
- behave in a manner that does not endanger or significantly disrupt other participants
Health & safety
Participants are responsible for ensuring they are physically capable of participating in the experience activities described on the experience page.
Participants must inform Beyond the Pitch of any medical conditions, disabilities, or physical limitations that could affect their safe participation, prior to completing their booking.
Beyond the Pitch reserves the right to exclude a participant from specific activities where it reasonably considers participation poses a risk to that participant or others.
Assumption of risk
Participation in sports-related and physical activities involves inherent risks, including the risk of injury. By booking and participating in a Beyond the Pitch experience, participants acknowledge these inherent risks and agree to follow all safety instructions provided by guides and hosts.
Cancellations by participants
Unless otherwise stated on the relevant experience page, the following cancellation policy applies:

Refunds will be processed to the original payment method within 14 business days of the cancellation being confirmed in writing. Payment processing fees charged by third-party providers are non-refundable in all cases.
Cancellation requests must be submitted in writing to thebeyondthepitch@gmail.com.
Changes or cancellations by Beyond the Pitch
Beyond the Pitch reserves the right to modify, reschedule, or cancel experiences due to circumstances including:
- insufficient participant numbers to run the experience viably
- safety considerations for participants or hosts
- severe weather or environmental conditions
- event cancellations or schedule changes by independent organisers
Where an experience is cancelled by Beyond the Pitch, participants will be notified as soon as reasonably possible and will be offered either:
- a rescheduled date at no additional cost, or
- a full refund of the experience price paid, processed within 14 business days.
Beyond the Pitch is not responsible for any additional costs incurred by participants as a result of a cancellation, including flights, accommodation or transportation.
Force majeure
Beyond the Pitch shall not be liable for failure to perform its obligations where such failure results from circumstances beyond its reasonable control, including but not limited to:
- extreme weather or natural disasters
- government restrictions, travel bans or public health emergencies
- strikes or industrial action
- acts of war, terrorism or civil unrest
In the event of force majeure, Beyond the Pitch will make reasonable efforts to offer a rescheduled date or, where rescheduling is not possible within a reasonable timeframe, a refund of amounts paid for the affected experience, minus any non-recoverable costs already incurred by Beyond the Pitch. Participants will be notified and offered options as soon as reasonably practicable.
Intellectual property
All content on the Beyond the Pitch website — including text, images, branding, video and design — remains the intellectual property of Beyond the Pitch unless stated otherwise. Content may not be reproduced, distributed or used commercially without prior written permission from Beyond the Pitch.
Photography & media
During experiences, photography or video may be captured by Beyond the Pitch or local partners for promotional and editorial purposes. By participating in an experience, participants consent to reasonable use of such images and footage in marketing materials, on social media, and on the website.
Participants who do not wish to be photographed or filmed must notify Beyond the Pitch in writing before the start of the experience. We will make reasonable efforts to accommodate such requests.
Liability
Beyond the Pitch organises experiences and collaborates with trusted local partners. To the extent permitted by Dutch law, Beyond the Pitch's total liability to a participant for any claim arising from a booking shall not exceed the total price paid by that participant for the relevant experience.
Participants are strongly encouraged to obtain comprehensive personal travel and medical insurance before the experience, covering cancellation, medical costs and personal liability.
Data protection
Beyond the Pitch processes personal data in accordance with its Privacy Policy and applicable data protection law, including the General Data Protection Regulation (GDPR) and the Dutch Implementation Act (Uitvoeringswet AVG).
Participant information may be shared with local experience partners solely for the purpose of delivering the booked experience.
Governing law & disputes
These Terms & Conditions are governed by the laws of the Netherlands. Any disputes arising from or in connection with these Terms shall first be addressed through good-faith mediation between the parties before legal proceedings are initiated.
If mediation does not resolve the dispute within 30 days, either party may submit the matter to the competent court in the Netherlands.
