This policy applies to all bookings made through our website. The cancellation window is always calculated from the scheduled date and time of the experience, not from when you contact us.

Participant cancellations

If you need to cancel your booking, the following refund schedule applies. All timings are calculated from the scheduled start date and time of the experience.

Refunds will be processed to the original payment method within 14 business days of the cancellation being confirmed in writing. Payment processing fees charged by third-party providers (e.g. Stripe, PayPal) are non-refundable in all cases.

EU legal note: Because Beyond the Pitch experiences are booked for a specific date, the standard 14-day right of withdrawal under the EU Consumer Rights Directive (2011/83/EU) does not apply. This is explicitly provided for in Article 16(l) of that Directive, which exempts leisure services provided on a specific date. This exemption was confirmed by the Court of Justice of the EU (CJEU, Case C-96/21, 2022). Our tiered refund schedule is a voluntary commercial commitment that goes beyond what is legally required.

How to cancel

All cancellation requests must be submitted in writing by email to thebeyondthepitch@gmail.com. Please include:

  • your full name
  • your booking reference number
  • the date and name of the experience

The date of your email determines which cancellation window applies. We will confirm receipt and the applicable refund amount within 2 business days.

Refund timeline: Once your cancellation is confirmed in writing, refunds are processed within 14 business days to the original payment method. If you have not received your refund within this period, please contact us.

Experience changes by Beyond the Pitch

Beyond the Pitch may occasionally need to modify scheduling or program details due to operational or logistical reasons — for example, a venue change, a schedule shift, or an adjustment to program content.

We will notify participants as soon as possible when any such change affects their booking. We aim to provide at least 72 hours notice for minor operational changes.

Material changes: If a change significantly alters the nature of the experience you booked, you will be offered the option to cancel for a full refund regardless of the standard cancellation window. What constitutes a material change will be assessed reasonably and in good faith by Beyond the Pitch.

Cancellation by Beyond the Pitch

Beyond the Pitch reserves the right to cancel an experience in circumstances including:

  • insufficient participant numbers to run the experience safely and meaningfully
  • safety concerns relating to the venue, activity, or participants
  • extreme or dangerous weather conditions
  • cancellation or significant change of the underlying sporting event
  • force majeure events beyond our reasonable control

Cancellation by Beyond the Pitch is always a last resort. Where an experience is cancelled by us, you will be notified as soon as reasonably possible and offered one of the following:

Option A

Alternative dateA rescheduled experience on a comparable date, subject to availability and your agreement.

Option B

Full refundA complete refund of all amounts paid, including any fees, processed within 14 business days.

Please note: Beyond the Pitch is not responsible for any additional costs incurred by participants as a result of a cancellation, including flights, accommodation or transportation. Participants are strongly encouraged to obtain appropriate travel insurance covering cancellation.

Your EU statutory rights

Nothing in this policy limits or removes any statutory rights you have under Dutch or EU consumer law. In particular:

  • Nothing in these terms limits liability for personal injury or death caused by negligence, as such exclusions are not permitted under Dutch law (Burgerlijk Wetboek).
  • If Beyond the Pitch cancels your experience, you are entitled to a full refund under general consumer law principles — this is already reflected in Section 04 above.
  • EU consumers may use the EU Online Dispute Resolution platform to resolve disputes: ec.europa.eu/consumers/odr
Governing law: This policy is governed by the laws of the Netherlands. Any disputes arising from or in connection with a booking shall first be addressed through good-faith mediation before legal proceedings are initiated. If mediation does not resolve the matter within 30 days, either party may submit to the competent court in the Netherlands.

Beyond the Pitch is a cultural sports experience organiser, not a travel agency or tour operator. We do not sell travel packages, arrange flights or book accommodation. All prices cover the hosted experience only. Participants arrange their own flights and accommodation independently.
